AGROHA Chapter – Official Meeting Structure (90 Minutes)

This document outlines the standard, professional, and value-driven format for conducting an official AGROHA Chapter meeting. The structure reflects AGROHA’s philosophy of Relationship First, Reputation First, and Value-Based Business Growth.

Meeting Conducted By:

  • President
  • Vice President
  • Secretary

* Coordinators will play a key role in supporting the Leadership Team in organizing the meeting.

Pre-Meeting Arrival & Open Networking
  • All members, visitors, and invited guests are expected to arrive at the scheduled reporting time and first report at the Welcome Desk for attendance, registration, and coordination.
  • A 30-minute Open Networking Window will be provided prior to the formal meeting start.
  • This time is exclusively meant for informal introductions, warm interactions, and setting the foundation for deeper conversations during the meeting.
  • This ensures punctuality, smooth coordination, and a relationship-first environment before the official proceedings begin.
1. Opening & Welcome (President)

The meeting formally begins with the President welcoming all members, visitors, and invited guests.

The President will:

  • Briefly explain the definition of AGROHA and clearly state its full form, vision, and purpose.
  • Set the tone of the meeting by highlighting AGROHA’s core philosophy and values.
2. Leadership & Team Introduction

The President will formally introduce:

  • The Vice President of the Chapter.
  • The Secretary of the Chapter.
  • The Chapter Coordinators, along with a brief mention of their respective roles and responsibilities.
  • This segment establishes clarity, transparency, and leadership alignment within the chapter.
3. Felicitation of Expert Guest of the Day

The President will:

  • Introduce the Expert Guest of the Day.
  • Invite selected members to formally felicitate the guest, reinforcing AGROHA’s culture of respect, gratitude, and learning.
4. Member Introductions (President Moderated)

To encourage bonding and relationship-building, the President will initiate self-introductions by members.

Guidelines:

  • Each member introduces themselves.
  • Maximum time per member: 1 minute (adjusted based on total attendance).
  • Focus on name, business, short creative introduction along with Gratitudes & Testimonials for fellow members.
5. Visitor Introductions

After member introductions, the President will invite visitors and prospective members to introduce themselves.

This segment helps visitors:

  • Feel welcomed and included.
  • Understand the culture and professionalism of AGROHA.
6. Meeting Handover to Secretary

The President will formally invite the Secretary to take the meeting forward.

7. Knowledge & Business Sessions (Secretary Moderated)

a) Learning Session – 7 Minutes

  • Conducted by one AGROHA member.
  • Focused on learning, insights, best practices, or experience-sharing.
  • Encourages knowledge exchange within the community

b) Business Presentation – 10 Minutes

  • Conducted by one AGROHA member.
  • Structured presentation covering:
  • Business overview
  • Unique strengths
  • Collaboration & Support expectations from the community
8. Meeting Handover to Vice President

The Secretary will invite the Vice President to take the meeting forward.

The Vice President will announce:

  • Total business generated by the chapter till date
  • Total number of visitors attended in meetings till date.
  • Upcoming events, meetings, collaborations, and chapter activities.
  • This segment highlights growth, momentum, and future opportunities.
9. Expert Guest Session (President Moderated)

The Vice President will invite the President to resume moderation.

The President will:

  • Invite the Expert Guest of the Day for a 15-minute expert session.
  • Ensure the session remains insightful, practical, and aligned with business and leadership growth.
10. Member Achievements & Felicitation

The President will:

  • Collect details of special achievements of members from the Vice President and Secretary.
  • Publicly announce these achievements.
  • Invite the Expert Guest, Vice President, and Secretary to felicitate the achievers.
  • This reinforces motivation, recognition, and community pride.
11. Speed Networking Session (15 Minutes)
  • To deepen connections and foster meaningful business understanding, the President will announce a 15-minute Speed Networking Session.
  • All members and visitors will be seated in a unique and dynamic seating arrangement, thoughtfully designed by the Chapter Leadership Team.
  • The format will encourage focused one-to-one and small-group interactions.
  • Emphasis will be on deeper understanding of businesses, values, and collaboration opportunities, not casual exchanges.
  • This session reflects AGROHA’s belief that strong relationships are built through structured and intentional conversations.
12. Meeting Closure

The President will formally conclude the meeting by his/her remarks and:

  • Inviting everyone to stand for the National Anthem.
13. Group Photograph

Post conclusion:

  • The President will invite all members, visitors, and the guest for a group photograph.
  • This captures the spirit of unity and collective growth.
14. Celebrations & Fellowship
  • Cake cutting ceremony for members whose birthdays occurred since the last meeting.
  • Informal networking and bonding.
15. Fellowship Over Meal

Members, visitors, and guests disperse for breakfast / lunch / dinner, depending on the meeting timing, encouraging deeper conversations and relationship-building.

Note:
  • The entire meeting will be conducted in sync with a structured slide presentation displayed on the projector placed in front of the audience. This ensures clear visibility, better understanding, and consistency of all information, announcements, and sessions discussed during the meeting.

  • Photography and/or video coverage of key meeting activities will be carried out from time to time. These visuals may be used for official AGROHA documentation, social media presence, marketing, and promotional purposes, showcasing the vibrancy and professionalism of the AGROHA platform.

  • The dress code for AGROHA Chapter meetings is formal and business-appropriate. Members may choose Indian, Indo-Western, or Western attire, based on their personal comfort and professional style, while maintaining the dignity and image of the AGROHA community.

  • Punctuality and strict time discipline are mandatory for all AGROHA meetings. Adhering to timelines is a mark of professionalism and reflects respect for the time of every member, visitor, and guest. All participants are expected to cooperate in maintaining the meeting schedule.

  • All mobile phones must be kept on silent mode or switched off during the meeting to avoid disruptions and ensure complete focus on discussions and sessions.

  • All members are expected to wear the official AGROHA Member Badge during meetings. This showcases their unique identity, unity, and pride in being part of the AGROHA platform, and reflects respect for the community in front of visitors and guests.

  • The meeting seating arrangement will follow a cluster-based format for members and visitors to encourage interaction and active engagement. The Leadership Team and the Expert Guest will be seated at the front with a clear view of the presentation screen and all members / visitors in the front.

  • AGROHA branding at the meeting venue will be thoughtfully maintained through banners, flags, standees, Maharaja Agrasen Ji’s Photo Frame and other visual elements, presented in the best possible manner to reflect a strong, professional, and consistent AGROHA identity.
