AGROHA is expanding rapidly across multiple cities, and to ensure clarity for all members and prospective members, here is a simple, point-wise guide explaining how eachCity Chapter functions, how onboarding works, and how chapters are officially launched.
1. WhatsApp Groups Structure in Every City.
Each AGROHA City Chapter will maintain four essential WhatsApp groups:
1. Open Group – City Business Owners Open for all Agarwal Community business owners of that city.
Used for awareness, updates, and initial communication.
2. Members-Only Group – City Chapter
Exclusively for approved & onboarded members of that city chapter.
Regular updates, meeting announcements, internal discussions.
3. HO Representative, Leadership & Board Group – City Chapter
Created after the first 20 Charter Members are onboarded.
Includes Board Members & Leadership Team of that Chapter.
4. AGROHA Chapter – PARIVAAR Group
This will be the fourth WhatsApp group of every AGROHA Chapter, created exclusively for non-official and informal communications. The group, named “AGROHA Chapter – PARIVAAR”, will be used for bonding, celebrations, personal connect, support, and community interactions, while all official announcements and communications will continue only in the designated official AGROHA Chapter groups.

2. Pre-Launch Meeting in Every City.
A Pre-Launch Meeting will be conducted to introduce AGROHA, share vision, and begin the membership drive.
Example: Pre-Launch Meetings in Udaipur and Jaipur have already been completed and membership onboarding has begun.
3. Member Onboarding Process.
New members in any City Chapter will be onboarded through the following steps:
Step 1: Fill Expression of Interest (EOI) Form The first step for every prospective member.
Step 2: Approval by Head Office (HO) The EOI form is reviewed and approved by the HO (Board & Leadership Team after official launch).
Step 3: Membership Fee Payment Once approved, members complete their membership by paying the annual membership fee. The member receives the invoice and payment receipt for the same in their emailid. 18% GST will be applicable on these invoices in the future.
After these steps, a member is officially added to the Members-Only Group of that city chapter.
Also, the VibesNet App access for the member gets activated. The member can start accessing data of all the members on their own chapter and other chapters of other citiestoo.
Note:
- The official tenure of a member’s annual membership gets started only when the chapter is officially launched.
- The above structure will run till a city chapter is HO Managed. Once a City Chapter Franchisee is onboarded as a Chapter Director, the membership fees will be payable tothe City Chapter Franchisee’s account.
4. Sharing of Policies & Guidelines.
All members who get onboarded; will receive the Membership Policies, Chapter By-Laws, and other operational guidelines.
This ensures transparency, clarity, and uniform functioning across all chapters.
5. Planning & Launch of the City Chapter.
Once the first set of members is onboarded, the Board Members & Leadership Team of that city will be identified.
Chapter Launch will be scheduled and planned jointly with these chosen leaders.
AGROHA Chapter in a City will be officially launched with minimum 20 members onboarded.
6. Post-Launch: Official Operations Begin.
After the Chapter By-Laws are finalized and approved by the HO:
- The official Chapter Launch takes place.
- Regular monthly meetings, networking events, and training / learning sessions start in the city.
- Minimum 2 physical activities like 1 officially meeting or 2nd official meeting or event will be done by the chapter each month.
- The registration amount of 24 such meetings / events is inclusive in the membership fees of members.
7. Membership Classification Policy.
As a general guideline, chapters may prefer one member per business classification to encourage diversity and avoid conflicts.
However, AGROHA empowers each Chapter Board / Leadership Team to curate its own classification policy. Based on the collective spirit, member consensus, and chapter requirements, the Board may allow one or multiple members from the same business classification.
The decision of the Chapter Board, in alignment with AGROHA’s values and HO guidelines where applicable, shall be final.
8. Training, App Access & Member Support.
AGROHA ensures continuous support to all members:
Training on meeting formats, AGROHA Mobile App, and event procedures.
Support provided in both online and offline formats.
Regular hand-holding for new members to grow smoothly in the platform.
9. AGROHA Chapter Meeting Structure.
Every AGROHA Chapter Meeting includes a well-designed and powerful agenda:

- Visitor Introductions
- 7-Min Learning Session
- 10-Min Business Presentation
- 15-Min Expert Guest Session
- Recognitions & Felicitations of top performers in the chapter
- Special Announcements
- National Anthem
- Group Photograph
- Member Birthday Celebrations with cake cutting
- Open Networking before & after the meeting
- Tea / coffee / cookies at the start
- Breakfast / lunch / dinner at the end

Note : All meetings will get proper visibility and promotions on social media (before and after the meetings)as per the brand guidelines and the frameworks given.
10. AGROHA Social Media Presence & City Chapter Accounts.

For each City Chapter, dedicated social media accounts will be created and maintained on:

Initially, these accounts will be handled by the Head Office (HO).
Once the chapter is launched and leadership is in place, the Chapter Members will gradually take over management.
